Overview

This job aid will assist with initiating an end job or termination for one of your direct reports in UNI Works, as well as any subsequent steps involved that are necessary to complete the termination.

Termination

Termination PAF

Termination represents any employee leaving the university for any reason. The reasons are broken down into two categories in UNI Works: Voluntary and Involuntary.

Job Requisition

Formal request to hire or backfill someone and allows the posting, recruiting, and hiring for an available position.



Warning

If the employee has a current Period Activity Pay with future payments, you must end the Period Activity Pay before proceeding. Refer to the Period Activity Pay job aid for instructions.
Employees that typically have PAPs are:

  • Adjuncts

  • Non-Temporary Faculty for Faculty Overload

  • Graduate Assistants

  • Resident Assistants

  • AmeriCorps Members

End Job

Step 1: Using the search bar, type the name of the employee and click the name to open the employee’s profile.

Step 2: From the employee's profile, click Actions > Job Change > End Jobs.

Step 3: In the End Job column, click the check box(es) next to the job(s) that are ending.

Step 4: Click the OK button.

Step 5: In the Termination Date field, type or click the calendar icon to select the date the termination will take effect.

Support

Academic Administrator and Faculty

  • For non-temporary faculty, ideally the termination date will be 01-Jun-XXXX or 31-Dec-XXXX.

  • For adjuncts, normally it should be three (3) business days after the end of each semester.

Non-Temporary Employee

  • Vacation and/or sick leave may not be used to extend the termination date.

Step 6: In the Primary Termination Reason field, click the menu icon to select the appropriate option.

Support

Student Employee and Graduate Assistant: "End Temp" or "End Temp Early" should typically be used.

Warning

To protect the privacy of the employee, do not share this reason with others not approving the transaction.

Step 7: The box next to Close Position is unchecked by default. Please leave this unchecked unless you are certain this position should be closed and is no longer required (i.e. no backfill).

Support

Closing the position automatically makes the position unavailable for overlap, as the position will be removed.

Step 8: The box next to Is this position available for overlap? is checked by default. Leaving this option selected allows for two individuals to fill the position at the same time and is typically used when the outgoing employee will remain in the position long enough to onboard the incoming employee.

Step 9: The Last Day of Work and Pay Through Date fields will auto-populate. Review the information. If changes are needed, complete Step 9.1 and Step 9.2.

Step 9.1: In the Last Day of Work field, type or click the calendar icon to select the date. The Last Day of Work refers to the employee's final day they will physically report to their job. The termination date and last day of work date should be the same. 

Step 9.2: In the Pay Through Date field, type or click the calendar icon to select the date. 

Step 10 (Required for Non-Temporary Faculty and Staff): In the Attachments section, click the Select Files button to add supporting documentation.

Step 11(Optional): In the Comment field, type any supporting information.

Step 12: Click the OK button.

Step 13: The next screen confirms that you submitted the End Job transaction. Review the information and click the Done button. 

What Happens Next

The process will route for review and approval and follow any necessary subsequent steps depending on the details of the termination. You can view the status of the business process any time by clicking on My Tasks > Archive > Process.

Non-Temporary Employee Exit Survey

Non-temporary faculty and staff who voluntarily leave the university will receive a UNI Works notification with an external link asking them to complete an Exit Survey.

Submit and Approve Time Off/Timecard Task

Managers will receive the Submit and Approve Time Off/Timecard task following the termination being initiated (excluding graduate assistant terminations).

Step 1: Click the My Task icon, then click the Submit and Approve Time Off/Timecard task.

Step 2: Review the Instructions section and click the Review Time button.

Step 3: Click the OK button.

Step 4: Click on the employee’s name and review the time entries.

Support

If no changes are needed to time entries, complete Step 5. If you need to change or add time entries before approval, complete Step 6.

Step 5: Click the back arrow to return to the Review Time page.

Step 5.1: To approve the employee's time, click the check box next to the employee's name and click the Approve button.

Step 6: Click on the employee's name again and click the Enter Time for Worker button.

Step 6.1: Make any necessary corrections or additions to the employee's time entries and click the Review button.

Step 6.2 (Optional): In the Comment field, type any supporting information.

Step 6.3: Click the Submit button.

Step 7: Once the time is submitted, click the My Tasks icon, then the Submit and Approve Time Off/Timecard task. 

Step 8: Click the Submit button.

Job Requisition Task

Managers will receive the optional Job Requisition task for any non-student/non-graduation assistant terminations to begin creating a job requisition. The manager may elect to skip this task. 

If the position will not be filled immediately:

Step 1: Click the My Tasks icon, then click the Create Job Requisition Sub Process task.

Refer to the Create Job Requisition job aid for more information on creating job requisitions, or if it is determined after skipping the task that the position will be filled.

Step 2: Review the instructions at the top of the task.

Step 3: Click the OK button.

Step 4: Review and complete the required job requisition information.

Step 5: Click the Submit button.

The request will route for review and approval. You can view the status of the business process at any time by clicking on My Tasks > Archive > Process.
