Overview
This process is used to change a student employee's manager.
Change a Student Employee's Manager
Step 1: Using the search bar, type the name of the employee and click the name to open the employee’s profile.
Step 2: From the employee's profile, click Actions > Job Change > Start Job Change.
Step 3: In the What do you want to do? field, click the menu icon and select Manager Change.
Step 4: Click the OK button.
Step 5: In the Start Details section, click the pencil icon to edit.
Step 6: In the When do you want this change to take effect? field, type or click the calendar icon to select the date the change will take effect.
Step 7: In the Who will be the manager after this change? field, type the new manager's name. The Which team will this person be on after this change? field will auto-populate if the manager already has the manager role.

You will receive an alert below the Who will be the manager after this change? field if they are not currently a manager.
Step 8: Click the check mark icon to save.
Step 9: Click the Start button.

If the new manager already has the manager role, complete Step 10. If the new manager isn’t currently a manager, complete Steps 11 and 12.
Step 10: In the Move section, review the information. Both fields are selected by default.
Step 10.1: In the Move section, click the pencil icon to edit.
Step 10.2: In the What do you want to do with the opening left on your team? field, click the menu icon to select the appropriate option.
Option | Definition |
I plan to backfill this headcount | The position remains with current manager so they can replace the employee using the existing position. |
Move this headcount to the new manager | The position is moved with the worker. Typically, this option should be selected. Note: If this worker was a previous manager, the security role of Manager will move with the position and the option to move the team. |
Close this headcount | The current position is closed, and the receiving manager needs an open position to receive the employee within their new organization. |
Step 10.3: Is this position available for overlap? is checked by default. Leaving this option selected allows two individuals to fill the position at the same time and is typically used when the outgoing employee remains in the position long enough to onboard the incoming employee. Uncheck if no overlap is needed.
Step 10.4: Click the check mark icon to save. Go to Step 13.
Step 11: In the Why are you making this change? field, type or click the menu icon to select the appropriate reason.
Step 12: In the Enter Your Comment field, type any supporting information.
Step 13: Click the Submit button.
What Happens Next?
The request will route for review and approvals. Once approved, the employee's new manager and team is updated in UNI Works. You can view the status of the business process at any time by clicking on My Tasks > Archive > Process.
