Overview

This process is used to update benefits after a qualifying life event. A list of benefit events and required documentation can be found on the Benefits Life Events webpage.

Process Flow

Employee submits a benefit event > Benefit Team reviews for approval > Changes go into effect as of respective effective date.

Change Benefits

Step 1: From the Menu, click the Benefits and Pay app.

Step 2: Click the Change Benefits button.

Step 3: Click the Change Reason dropdown menu, select the appropriate benefit event.

Warning
Refer to the instructions on the right side of the screen. Read carefully.

Step 4: In the Date of … field, type or click the calendar icon which matches the event date listed on your life event documentation. Your benefits change will be denied if the dates do not match.

Step 5: If your benefit event requires documentation, you can attach it at this time, or at the end of the process. You may also provide it in person to Human Resource Services (GIL 027).

In the Attachments section, click the Select Files button to add supporting documentation.

Support
If you are only changing beneficiaries, changing Dependent Care FSA, or canceling Voluntary Term Life (VTL) documentation is not required.

Step 6: Click the Submit button.

Step 7: Click the Open button in the dialogue box or click the Enroll button under Needs Attention.

Step 8: Read the instructions then click the Let's Get Started button.

Step 9: Click Manage (9a example) or Enroll (9b example) on each plan tile you'd like to make changes to.

Step 10: Choose Select or Waive by clicking the toggle button next to the benefit plan.

Step 11: Click the Confirm and Continue button.

Step 12: Here is where you will add dependents (spouse and children). If you do not need to add dependents, skip to Step 13.

Step 12.1: For new dependents, click the Add New Dependent button. If the dependent(s) you would like to add are already listed, check the box next to their name(s).

Step 12.2: If you would like to use the new dependent as a beneficiary, check the box next to Use as Beneficiary.

Step 12.3: Read all instructions carefully, then click the OK button.

Step 12.4: Fill out all required fields for the new dependent, click the Add button to add National ID's (social security numbers).

Support
Only choose Full-Time Student if the dependent is an unmarried, full-time student, who is older than age 26.

Step 12.5: Click the Save button.

Step 12.6: After your final submission, you will receive a task in your inbox indicating you are required to submit dependent verification. Please refer to the task or the Verifying Dependents for Benefits job aid for instructions on how to submit.

If additional dependents need to be added, repeat Steps 12.1-12.5.

Step 13: Click the Save button.

Step 14: After all changes have been made, click the Review and Sign button.

Step 15: Review your selection(s) carefully.

Step 16: If you haven’t already done so, attach any required documentation.

Support
If you prefer not to attach/upload your document(s) into UNI Works, you can bring the documentation into the Human Resource Services office (GIL 027).

Step 17: Read the Legal Notice.

Step 18: Check the I Accept box.

Step 19: Click the Submit button.

Step 20: Click the Benefits Statement button or click the Done button.

View the Status of the Request

The proposed benefit event change will now go through the approval process. You can view the status of the business process request at any time by clicking on My Tasks > Archive > Benefit Change.  

Review the details and status of each event on the Details tab. Click on the Process tab to view the workflow.
