Job Aid for All Employees

Overview

This job aid details how to complete a performance review in UNI Works. This process is initiated by Human Resource Services.

Process Flow

Employee Completes Self-Evaluation

Step 1: When the Annual Performance Review process is initiated, the employee will need to complete a self-evaluation. The employee can select this task from the Awaiting Your Action section on the homepage.

This can also be accessed by clicking on the My Tasks inbox at the top of the screen.

Step 2: Once the Self Evaluation task is selected, you will see more information about the process. Click on Get Started to begin the task.

Step 3: The employee will complete the Self Evaluation process. The following are the elements of this task:

Goals – The employee will be able to add any goals that they set during the review period. Any goals that were added from the employee with the My Individual Goals task will automatically populate with this step of the self-evaluation. Click next to move to the next step.

Competencies – The employee will rate themselves on their competencies during the review period. In addition, the employee will need to share comments to contextualize the selected proficiency rating. This can include as much or as little detail as the employee would like to share. Scroll down to complete the list.

Employee Questions – There will be several questions for the employee to answer to provide additional context on overall accomplishments, if they have resources needed to perform their job effectively, and other elements related to their role. Again, this is a section where the employee can provide as much or as little detail as they would like. Scroll down to complete the list.

Review and Submit – Prior to submission, the employee will have an opportunity to review their answers before entering this task into workflow, which sends the performance appraisal task to the supervisor.



What happens next

Once the employee clicks "Submit," they will receive a notification that the task has been moved to their supervisor for their action on the next step in the process.

Employee Reviews Manager Comments

Step 1: The employee's manager completes the same information regarding the employee's goals, competencies, and questions. The employee will read the full performance review, with both their self-evaluation ratings and comments alongside those of the supervisor. 

Comparable to when the Annual Performance Review was initiated, the task to review the manager comments will appear in the Awaiting Your Action section on the homepage or by clicking on the My Tasks inbox at the top of the screen.

Step 2: Once the Performance Review task is selected, it will provide more information on the process. Click on Get Started to begin the task.

Step 3: The employee will read the full performance review, with both their self-evaluation ratings and comments alongside those of the supervisor. Scroll down to review all areas.

Step 4: Once the full performance review has been read, the employee will either "Acknowledge Review" or "Decline to Acknowledge Review." They can add any additional comments to contextualize their choice or to provide additional detail for their performance. Then they will press "Submit" to continue the business process.

Note: The option "Decline to Acknowledge Review" is provided in the case that an employee does not agree with the review that has been written. While it still reflects the review has been read by the employee, it does not signify their approval.

What happens next

Once the employee clicks "Submit," they will receive a notification that the task has been moved to their supervisor who reviews any additional comments made by the employee and submits the review to HRS.

Employee Review Summary

This is a helpful tool if you are looking for progress updates on the performance reviews you are completing for employees or if you want to see the progress subordinate managers are making on reviews for their employees who are in your management chain.

Step 1: Type Employee Review Summary in the search bar.

Step 2: Complete the fields in the box that appears.

  • Organizations: Select the organization you would like to view.

  • Include Subordinate Organizations: Selecting this box will allow you to see the progress of reviews in lower parts of the management chain.

  • Review Templates: You can select multiple review templates. If you’re looking to see progress on annual reviews, select those templates.

  • Rating Scale: You will need to select the scale that coordinates with the corresponding review.

Step 3: A table with the inputs that were added will appear. You should see rows for each applicable manager and a number for the following categories. Make sure to click on the number and not the arrow.

  • Not Launched: No review type of the one that was inputted has been launched for the employee.

    • FYI: Employees who started at the beginning of the fiscal year will not receive an annual review in the same cycle. Example: if an employee started 7/1/2024, they will not receive an annual review because they are subject to two-week, three-month, and six-month reviews.

  • In Progress: This provides a summary for the status of each review. As a reminder, these are the steps for performance reviews:

    • Complete Self Evaluation for Performance Review

    • Complete Manager Evaluation for Performance Review

    • Provide Employee Review Comments (?)

    • Provide Manager Review Comments

    • Approval by Talent Partner (HRS)

  • Complete: This provides a summary of reviews that are completed with the overall performance rating (listed as “Manager Rating”).
