Overview

This job aid will assist with requesting a change of base pay for hourly students, staff or non-temporary faculty.

Support

If the compensation change is for non-temporary staff, please contact hrs-employment@uni.edu prior to initiating the transaction.

If a compensation change is needed for salaried students, graduate assistants, AmeriCorps or adjuncts, refer to the Period Activity Pay job aid.

Warning

This task should ONLY be used when the employee's base pay is changing, and no other elements of their job are changing. If multiple elements are changing, please review the Change Job job aid.

Request Compensation Change 

Step 1: Using the search bar, type the name of the employee and click the name to open the employee’s profile.

Warning

Do not use this transaction for salaried students, graduate assistants, AmeriCorps, or adjuncts.

Step 2: From the employee's profile, click Actions > Compensation > Request Compensation Change.

Step 3: The Effective Date defaults to the next pay period. Change if necessary.

Support
The Effective Date should align to the next pay period unless specific circumstances require an earlier date be used. If for faculty or staff, contact hrs-employment@uni.edu if an earlier date is being requested. If for a student employee, contact studentemployment@uni.edu.

Step 4 (If the employee has multiple positions): In the position field, click the menu icon to select the appropriate position for the compensation change.

Step 5: In the Reason field, click the menu icon to select the appropriate option. The options are split into two categories: Compensation Change and Student Compensation Change.

Support
HRS does report on reasons for faculty and staff, contact hrs-employment@uni.edu if assistance is needed.

Step 6: Click the OK button.

Step 7: The current compensation plan will display for the employee. The Effective Date & Reason section will display the effective date and reason that you selected during Step 3 and Step 5.

Support
If you need to change the effective date or reason for the change, then click the Effective Date & Reason button on the left side menu. Edit the effective date and/or reason, then click the Next button to continue the process.

Warning
If you need to cancel the compensation change, then click the Effective Date & Reason button on the left side menu. Then click the Close button.

Step 8: In the Hourly or Salary section (based on the pay type for the employee), click the related actions icon and select Edit to update the employee’s compensation.

Step 9: In the Amount field, type the proposed hourly rate or salary amount. The Amount Change and Percent Change fields will auto-populate.

Step 10: Click the Save button.

Step 11: In the Attachments section, click the Select files button to add supporting documentation.

Step 12: Click the Submit button.

What Happens Next

The proposed compensation change will now go through the approval process. You can view the status of the business process at any time by clicking on My Tasks > Archive > Process.

If a non-default account needs to be updated as a result of this compensation change, please use the Assign Costing Allocations job aid.
