Overview
This process is used by managers to approve, review, and edit employee time entries. While approvals can be done through My Tasks, this job aid will cover the process through the Time and Scheduling Hub. Time entries cannot be submitted or approved during the three (3) days prior to the pay date for the corresponding payroll period. This lock out period allows payroll staff time to process payroll transactions.
Process Flow
Employee submits time entry > Manager reviews the entry for approval > Approved time entries received by Payroll
Review and Approve Time
Managers can use Review and Approve Time to review time entries that have been submitted for approval. Managers also have the option of entering time on behalf of the worker.
Step 1: From the Menu, select the Time and Scheduling Hub application.
Step 2: The Navigation Menu can be extended by clicking the right arrow or viewed in a dropdown menu. The orientation will depend on the size of the user's screen.
Step 3: Click Review and Approve Time either in the navigation menu or by scrolling down to In Progress on the Overview screen.
Step 4: Enter the date.
Step 5: Enter the name(s) of the employee(s). Alternatively, click Review my direct reports only. Leave All Workers selected.
Step 6: Click OK.
Review Time Entries
Step 1: Click the employee name to review the hours submitted for the pay period.
Step 2: Click Approve at the bottom of the screen to approve all entries for the selected employee.
Step 3: To approve all employee time entries for the pay period, click the box below Time Period Summary to the left of Worker Name to select all workers.
Step 4: Click Approve.
What Happens Next
Approved time entries will be included in the next payroll process. You can view the status of the business process at any time by clicking on My Tasks > Archive > Process.
Edit and Approve Time
Managers can use Edit and Approve Time to review time entries that have been submitted for approval. Managers also have the option of entering time on behalf of the worker.
Step 1: From the Menu, select the Time and Scheduling Hub application.
Step 2: The Navigation Menu can be extended by clicking the right arrow or viewed in a dropdown menu. The orientation will depend on the size of the user's screen.
Step 3: Click Edit and Approve Time.
Step 4: Enter the Date.
Step 5: Select which group of workers to Review.
Step 6: Click OK.
Step 7: Review time entries for each employee.
Step 8: Select the employees to approve time entries for by clicking the box to the left of their name. Select all employees by clicking the box in the title.
Step 9: Click Approve.
Enter Time for Worker
Step 1: From the Time and Scheduling Hub, click Enter Time for Worker under Time Tracking. This will open a new window
Step 2: Enter the employee's name.
Step 3: Enter the date.
Step 4: Click OK.
Note: The period of time displayed – day or week – will change depending on screen size. Smaller screens will default to the daily view; larger screen will show the weekly view.
Step 5: Click the column under the date. This will open a new window.
Step 6: The Time Type for current and past dates may default to Regular; click the field to change the Type if needed. The Time Type for future dates are limited to Holiday, Standby, and Excused Duty; Regular hours cannot be coded.
Step 7: Enter the number of hours worked or time in and out.
Step 8: Click OK.
Step 9: Changes are automatically saved; if the time entry does not need to be submitted, no additional action is needed. Otherwise, click Review.
Step 10: Click Submit.
What Happens Next
The time entry will now go through the approval process. You can view the status of the business process at any time by clicking on My Tasks > Archive > Process.
Correct Time for Worker
Step 1: From the Time and Scheduling Hub, click Edit and Approve Time from the navigation menu.
Step 2: Enter the date.
Step 3: Click By Worker under Review criteria.
Step 4: Enter the employee's name.
Step 5: Click OK.
Step 6: Click the hours entry.
This will open a new window.
Step 7: Click Time Type to change the time entry code.
Step 8: Enter the updated number of hours for the Time Type.
Step 9: Click OK.
Step 10: Click the box next to the employee's name.
Step 11: Click Submit.
Step 12: Click the box next to the employee's name.
Step 13: Click Approve.
What Happens Next
The time entry will now go through the approval process. You can view the status of the business process at any time by clicking on My Tasks > Archive > Process.
