Overview

This job aid details how to complete a performance review in UNI Works. This process is initiated by Human Resource Services; there is nothing a supervisor or employee needs to do until the performance review is in "My Tasks" on your UNI Works Dashboard.
If you feel that an employee review should be launched that has not been started by HRS, please send an email to hrs-performance@uni.edu with the employee's name, position, and start date.

Process Flow

Manager Completes Employee Evaluation

Step 1: After the employee has completed their self-evaluation, their manager will receive a notification to complete an evaluation of the employee. The manager can either select this task from the Awaiting Your Action section on the homepage or by clicking on the My Tasks inbox at the top of the screen.

Step 2: Once the Manager Evaluation task is selected, it will provide more information on the process. Click on Get Started to begin the task.

Step 3: The supervisor will complete the Manager Evaluation process completing the form as they scroll down to the end of each page. They will see the employee's comments and add their own. They will click Next as they complete each page. The following are the elements of this task:

A) Goals – The supervisor will be able to review the goals that the employee set, along with their progress and completion. Supervisors will need to approve of any goals that are entered into UNI Works, so they will have some familiarity with what the employee sets as their goals. Scroll down to complete the list.

B) Competencies – The supervisor will be able to see what the employee noted as their ratings and the context to why they provided that rating. Supervisors will follow the same process, rating the employee and noting relevant context points within the comment boxes. Scroll down to complete the list.

 

Note: Supervisors SHOULD NOT copy and paste the employee's comments. Supervisor observations should be their own and justify the employee's ratings from their own experiences.

C) Employee Questions – This is an opportunity for supervisors to see employee's responses to the questions and provide additional context, feedback, and share their own comments on what the employee has written. Scroll down to complete the list.

D) Overall – This section is specifically for supervisors to share an overall rating of the employee's performance in consideration of the competency areas. Supervisors will also need to share a comment that contextualizes the rationale for the overall rating.

Step 4: Review and Submit – Prior to submission, the supervisor will have an opportunity to review their answers before entering this task into workflow, which sends the performance appraisal task back to the employee. This provides the employee the opportunity to review the supervisor's comments and competency ratings. Scroll down to review all areas.

Once the manager clicks "Submit," they will receive a notification that the task has been moved to the next step in the process where the employee reviews their manager's comments.

Manager Reviews Comments

Step 1: After the employee reviews and acknowledges their manager evaluation, the manager receives the review again to see and acknowledge any additional comments by the employee.

Comparable to when the Annual Performance Review was initiated, the task will appear in the Awaiting Your Action section on the homepage or by clicking on the My Tasks inbox at the top of the screen.



Step 2: Once the Performance Review task is selected, it will provide more information on the process. Click on Get Started to begin the task.

Step 3: The main goal of this step in the process is for the manager to review any comments that the employee has made regarding their perspective of the performance review




Step 4: Once the review is complete, the manager will either "Acknowledge Review" or "Decline to Acknowledge Review." They should add any additional comments to contextualize their choice or to respond to the comments of the employee. After they will press "Submit" to continue the business process. Scroll down to review the entire evaluation.

Once the manager clicks "Submit," they will receive a notification that the task has been moved to their manager for their action on the next step in the process.

What Happens Next

After the manager chooses Acknowledge Review or Decline to Acknowledge Review and submits, the performance review is sent to be reviewed by a representative from HRS. After that, it will either be sent back to the employee or manager for edits or it will be approved and finalized.
