Overview
This job aid details the candidate screening process for the Search Committee to complete, as well as tasks assigned to the Search Committee Chair in UNI Works. The Search Committee is responsible for screening candidates. The Search Committee Chair (who is indicated as the Search Committee Chair on the job requisition) will submit the Committee Review task and make the decision to move the candidate forward or not.
Search Committee Screen
Anyone on the search committee will be able to access the Candidate Profiles to complete the initial screening. Please note: the committee will not be able to access the Candidate Profile until HRS has moved them to the screening step. For staff, if HRS determines a candidate does not meet one or more of the required qualifications, they will not be moved forward for search committee screening.
Step 1: From the UNI Works home page, click on the Menu.
Step 2: Click on the Recruiting Dashboard application.
Note: If the application isn't visible, click Add Apps at the bottom of the Menu. Look for the Recruiting Dashboard app (shown in screenshot above).
Step 3: Under Manage Job Requisitions, click on the applicable Job Requisition.
Step 4: Click Review Candidates.
Note: Once a candidate has been assigned a disposition reason, you will no longer have access to their application.
Step 5: Switch between the different views to compare candidates, or click on a candidate directly to navigate to their Candidate Profile.
Step 6: From the Candidate Profile, click the Questionnaire Results tab to view the candidate's responses to the original application questions.
If there are any questions or concerns about the questionnaire responses, the Search Chair should contact the HRS employment team by phone or by email at hrs-employment@uni.edu.
Step 7: After the Search Committee meets to review the candidates, the Search Committee Chair is responsible for completing the Committee Review task for each candidate. This will result in either moving the candidate forward for a phone screen or interview or in assigning them a non-selection disposition.
Submit Committee Review Task
Once the review is complete by all Search Committee members, the Search Committee Chair will submit the Committee Review task.
Step 1: Navigate to your My Tasks in the top right corner of the page.
Step 2: Locate and click on the Committee Review task.
Step 3: Review the information about the candidate on the Summary page. Use the left-side tabs on the Candidate Profile page to view more information.
Step 4: After the Search Committee review, the Search Committee Chair will make the next decision for this candidate:
A) Move Forward: Move the candidate to the next stage in the recruiting process. Choose either Phone Screen or Schedule Interview.
B) Decline: Declines the candidate. Select the appropriate reason from the options listed. It is very important to select the correct disposition reason. An email is automatically sent to the candidate and are specific to the reason selected. Contact your HRS Employment representative or email hrs-employment@uni.edu if you have any questions about which reason to select.
What Happens Next
Upon submitting, if Schedule Interview was selected, the Search Committee Chair receives a task called "Schedule Interview." Complete this task as soon as an interview date is confirmed with the candidate. Completing the Schedule Interview task sends a request to the candidate(s) selected for interview to complete the professional references questionnaire, launches the Rate Interview task for the interview team to provide feedback, and launches the Make Interview Decision task for the Search Administrator. This enables the Search Administrator to move the candidate to offer or decline the candidate. After a candidate is moved to the interview stage, the Search Committee Chair will no longer have access to move candidates forward or decline them.
If Phone Screen was selected, the screening task remains as a task in My Tasks until the phone screen is completed. Conduct the phone screen with the selected candidate outside of UNI Works.
If the candidate is declined, they will receive a notification that they are no longer being considered for the position. Depending upon the disposition type, the notification is sent to the candidate anywhere from 1-5 days from when the disposition is assigned.
Schedule Interview
If you clicked Interview Team on the pop-up message that displayed in the previous task, then the Schedule Interview page will already display, and you can start at Step 3 of this section.
Step 1: Navigate to your My Tasks in the top right corner of the page.
Step 2: Locate and click on the Schedule Interview task.
Step 3: The Hiring Manager displays as an interviewer. Click the Plus icon to add additional interviewers to the interview team, if applicable.
Step 4: Search for and select the appropriate Interviewer. If you need to remove an Interviewer you have added, click the Minus icon.
Step 5: Select the Interview Date next to each Interviewer.
Step 6: Add a Comment for Interview Team, if applicable.
Step 7: Click Submit.
What Happens Next
The interview team interviews the candidate. Each interviewer, as defined by the earlier UNI Works Schedule Interview task, will then receive the Rate Interview task to provide feedback on whether or not they recommend the candidate. The feedback submitted by each interviewer will be visible to the Hiring Manager, Recruiter, Search Committee Chair and Search Administrator via the Interview tab on the Candidate Profile.
The Search Administrator should wait until all interviewers have provided a rating and then review the ratings. The Search Administrator receives a task in UNI Works to indicate whether to move the candidate forward to the next step or decline the candidate. This task may be completed even if all interviewers have not provided their ratings.
