Overview
This job aid will assist with initiating the Job Change business process. This process is often referred to as Change Job and allows the manager or their delegate to initiate specific staffing changes for employees within their reporting structure. For conducting job changes for student employees, refer to the Change Job Student job aid.

UNI Works Term | Legacy Term | Definition |
Job Change | CHG PAF | A staffing task that allows managers and their delegates to change specific aspects of their direct reports' employment. |
Job Profile | Hourly or Salary | Job Profiles indicate if the position is hourly or salary and exempt or non-exempt. |
Scheduled Weekly Hours | N/A | This drives PTO accruals, benefits eligibility, and federal ACA reporting. |
Job Change Types
The name of the job change template selected will appear in the employee's worker history, making it easier to track employment changes.
Job Change Type | Use Case |
Make New Manager | Use to assign the "Manager" role to an employee who is not currently a manager. This action needs to be taken before assigning direct reports to the new manager. |
Title Change | Use if the position/profile is remaining the same but the Job Title (also displayed as Position Title) and/or Business Title needs to be updated. (To change an employee's Job Profile, select the "Change Job Details" or "Promote" options in the What do you want to do? field.) |
Work Schedule | Use to update an employee's location, scheduled hours, work shift, and/or appointment length. If you only need to update the employee's work space, go to the search bar and type in "Change Work Space." |
Reappointment | Use when reappointing: a graduate assistant every semester, adjunct faculty every semester, renewable term or term faculty, term or contract P&S employee, or temporary merit employee. |
Change Job Details | Change Job Details is comprehensive and should be used when needing to change a job profile and/or compensation. For faculty and staff positions, contact hrs-employment@uni.edu before starting this template. For student position support, contact studentemployment@uni.edu. For graduate assistant position support, contact grad-assistantships@uni.edu. |
Manager Change | Use to move an employee to a different manager. If this is the only change (i.e., there is not a need to change the employee's work space, etc.), you can also send your request to hris-support@uni.edu with the manager change and the effective date. |
Promote | Use when promoting an employee to a different profile with a higher pay grade. Before completing this template for faculty or staff, contact hrs-employment@uni.edu. |
Completing the Change Job Transaction in UNI Works

Approving the Change Job Transaction in UNI Works
Step 1: Click the My Tasks icon (1a), then click the job change task (1b).
Support
Depending on the type of job change, the task will display as one of the following:
Data Change: (name) – (position)
Promotion: (name) – (position)
Transfer: (name) – (position)
Demotion: (name) – (position)
Step 2: Review the details of the job change.
Step 3: Click the Approve button to approve the job change. If any information looks incorrect, click the Send Back button.
Support
Whenever sending back a transaction in UNI Works, you must type a Reason.
What Happens Next
The proposed job change routes through a series of additional approvals until fully approved, followed by any other steps required based on the type of change. You can view the status of the business process at any time by clicking on My Tasks > Archive > Process.
