Disabled Student Google Account Cleanup Process

Beginning in 2012 when UNI moved to the Google Suite of products, the standard practice when a student, faculty, or staff member left UNI was to disable their account and leave their data as is. This was sustainable at the time because Google offered unlimited storage. Today Google provides 100TB of free storage for education. We have also purchased additional storage via Google Plus licensing for a total of 340TB for campus. This storage is shared by all Google accounts & Shared Drives. 

Due to this storage limitation, we must take steps to remove inactive/disabled accounts and associated data in our Google Workspace environment or we will run out of space. 

Students will have access to their Google account for 1 year after graduation, then they will be disabled along with the ability to share drive data. They will remain disabled for 1 year, then after a total of 2 years after graduation, the account will be deleted.

Typically clean up and deletions will take place during summer break and/or winter break for those that match the criteria above for deletion.
