Account Provisioning during the Hiring Process
This page describes account provisioning for UNI services (email, computer account, etc.) during the hiring process. For information on the Hire Process in Workday, please click here.
The account provisioning process involves multiple steps and participants, including the new hire, hiring individual, HRS, and IT scripts. IT does not manually create accounts.
Generally, if the Hiring BP is completed before 4:00 p.m. Monday through Friday, account access will be ready by the following business day at 7:30 AM.
Steps
Offer Acceptance in Workday Recruiting:
The potential employee accepts the offer and completes necessary items in the hire process.
CatID Creation:
CatID creation and assignment are completed outside of Workday.
New Hire Business Process:
The hiring business process is kicked off after the hire is approved by a manager in Workday.
A series of additional approvals are required until fully approved, then follows the remaining steps of the hire process.
You can view the status of the business process at any time by clicking on My Tasks > Archive > Process.
As part of this process, the employees CatID is brought into the Workday system (matches local Workday account used in recruiting with new CatID).
Future Hire Designation:
Employee is designated as "Future Hire" in provisioning if:
The New Hire Business Process is completed.
The user possesses a valid CatID account.
Start date is in the future.
Primary System Provisioning:
After the hire shows up in the "Future Hire" view (updated at 6am each morning), provisioning can take up to 8 hours, but will likely be less.
Computer Account (Active Directory): 45 minutes past the top of every hour, using data from 30 minutes past the top of the hour.
Blackboard: Every day at 2:30 AM, 7:30 AM, 9:30 AM, 11:30 AM, 1:30 PM, 3:30 PM, 5:30 PM.
Note: Faculty assignments for classes in Blackboard must come from the SIS system.
Duo Multifactor: Every morning at 5:05 AM.
Email and Google Account: 15 minutes past the top of every hour.
Username/Email Address Changes: 20 minutes past the top of every hour.
Mailing Lists: 25 minutes past the top of every hour.
Updated Email Information: 30 minutes past the top of every hour.
Service Hub: 5 minutes past every 3rd hour.
UNI Works - Workday: 10 minutes past the top of every hour.
Zoom Video Conferencing: 5 minutes past the top of every hour.
