Google Storage Quotas

In 2021, Google announced they will no longer support unlimited storage in Google Workspace for Education. In addition to this announcement, in December 2022, Google also announced that on January 23, 2023, by default they will apply a 100GB limit to every Shared Drive if account owners do not place quotas themselves. As a result of this decision, Information Technology must begin applying quotas to all individual accounts and Shared Drives. 

Individual Google Accounts (My Drive, email, Docs, Sheets, etc.)

  • On February 7, 2023, quotas will begin to be applied to individual Google accounts.

    • Students: 100GB

    • Faculty/Staff: 100GB (With special permission and academic or business justification, the quota may be increased to up to a maximum 200GB for individual accounts.)

  • Quotas are subject to change depending on overall use of Google Workspace

Shared Drive Quotas

  • For Shared Drives that are under 100GB, a 100GB limit will be applied to the Shared Drive.

  • For Shared Drives that are over 100GB:

    • The quota will be increased to 500GB with a valid business need. The increase quota increase request should be via a standard IT help request in servicehub.uni.edu.

    • The maximum quota allowed will be 1TB (98% of all Shared Drives on campus are below 500GB).  In addition to the valid business need, Dean\Director\Department Head along with CIO approval are also required.

      • All Shared Drives with 1TB quotas will be required to annually review data usage and reaffirm existing business need.

    • Existing Shared drives over 1TB will have a temporary quota established while discussions are held with stakeholders.  The quota will be more than current usage to allow for business to continue. 

    • For departments with multiple Google Shared Drives, all Drives will be considered when calculating storage use.

  • Your quota will be available if you click on the "view details" icon at the top right of your Shared Drive.  You can see the storage used, and the percentage of your quota allocation.

  • You will also see warning banners if you are low on space, or out of space.  

Additional Google Storage Options 

  • (Option 1) If a department would like to purchase additional Google storage for their data, Google has an option to buy additional storage at 10TB increments. 

  • Cost: $1800 (50% off) to $1440 (60% off) per 10TB/year (Internet2 Pricing may be between 50% and 60% off - regular price is $3600 per year). 

    • Equates to approximately $0.18 to $0.14 per GB per year.

Non-Google Options for Storage

  • (Option 2) Information Technology currently offers Windows File Server storage at the rates of $0.29/GB/Yr (includes regular off-site backups)
