Starting an SRS role request
Background
What is SRS?
The Security Request System (SRS) is an online web application that allows UNI employees or patrons to request access to various systems, administrative functions, and other applications. This is used when an individual does not have the security clearance to access certain things without requesting the need for it. For example, VPN is one component that can be requested through SRS in order to gain access to websites that would normally have to be accessed on campus when individuals are off campus
How is it Used?
To access the SRS system please go to the MyUNIverse portal and look for the Security Request System portlet. This can typically be found on the "Work @ UNI" tab unless you have hidden the items.
Accessing SRS
Important
SRS requires a completed PAF before requests can be made. Some systems cannot have the role completed until after the first official day of employment. Patrons (non-UNI affiliates) will need special access and can be requested through Service Hub.
1. Log into MyUNIverse.
2. Open the CatID & Access section.
3. Click the Security Request System button
4. You will be taken to a page that looks like this:
Creating a Request
1. Click on the Start Role Request button:
2. If the roles should start immediately with no end date, you can skip to the next step. If the role should start in the future and/or end on a certain date, make adjustments:
Important
If you are hiring staff that will start in the future, adjust the Requested Effective Start Date to the future date.
Student employees should have most of their SRS roles requested on their start date using their student employee account once the SEAF is complete.
3. If the roles are for you, skip to the next step. Otherwise, find the UNI person that needs the roles you're requesting by clicking on the Change User button:
Important
If you are creating a request for a UNI employee starting a different job in the future, update the Requested Effective Start Date to the new start date and verify the Assignment is showing on the request. Otherwise, you may be using an old assignment that will end and result in losing the new roles.
4. Click on the System drop-down box and select the system that needs the role:
5. If you know the role name, you can type it into the Role Name field, otherwise click on the Search button:
By default the search will display Public Roles. If you do not find the role needed in the default search, click the Funnel in the search results display and search again in the new filter type:
6. Once the role has been searched, you will see results for any roles that match. Select the correct role by clicking on the arrow:
7. Search for and add any additional roles to the request by repeating the previous steps as needed.
8. Fill in the Justification text box regarding why the role(s) are needed, and click on the Submit Role Request button
9. Once submitted, requests will go through the workflow system for approvals.
Approval process
Once the SRS is approved by the supervisor, it may be routed for additional approvals in addition to the role owner.
Notifications
Notifications will be given out through email showing the approval or denial of the SRS request.
Viewing current roles
Any employee is able to view what roles they have and can view when it was granted, or revoked, and the approval process it went through.
