Accounts and Access After Leaving UNI
Your CatID grants you access to many systems and services while you are attending classes at or employed by the University of Northern Iowa. When you leave UNI (graduation, employment ends, retire, etc.) your access to services may end, based on the information below.
Google Workspace (including your UNI email)
Important
If you created any personal accounts using your UNI account (Facebook, other social media, billing sites, shopping sites, etc.), redirect them to a personal account instead to help with account recovery in the future. Also, copy/download/send any personal data (files, photos, etc.) before access has ended.
Students
Students' access to their UNI Google account will end one year after their last enrollment.
For example, if you graduate in May of 2022, your access to your UNI Google account will end in May of 2023.
The students account will then remain disabled for 1 year, then the account will be deleted. Restoring of data is not possible after the account is deleted.
When access to the student account is disabled, all sharing of documents will also be disabled.
Students leaving UNI for any other reason other than graduation will likely lose access earlier than one year.

Students losing access to their account will receive notifications 180, 90, 45, 14, and 2 days prior to their account being disabled.
Employees
By default, staff access expires on the day after their final day of employment.
By default, faculty keep their UNI accounts for 90 days, which includes Google Workspace accounts. If an Adjunct faculty member requires access beyond 90 days, the department head or designee may fill out this form.
For both faculty and staff, when access to the account is disabled, all sharing of documents will also be disabled. (New for 2026)
Emeritus
Emeritus faculty and staff currently retain their UNI Google account.
MyUNIverse portal
CatID access continues after leaving UNI. Access to specific functions within the portal, such as administrative applications or links related to employment or being a current student, will end after leaving.
Microsoft Account (Office 365, computer, and network access)
Students
Access to a Microsoft license (for example, using Microsoft Office on a personal device) ends immediately upon graduation/degree completion or on the day you withdraw from UNI.
Accounts will be disabled after 1 year. The account will then remain disabled for 1 year and then be deleted. Once the account is deleted, after 123 additional days the account's OneDrive data will be deleted. Restoration of data is not possible after the OneDrive is deleted.
Students can login to Office.com and then navigate to:

Replace CatID with your CatID username to download any documents needed from OneDrive.
Employees
Staff lose access after the last day of employment, except if they retire, which is 120 days after the retirement date.
Faculty lose access to their Microsoft license (using Microsoft Office on a personal device) on the last day of their employment.
Faculty accounts will not be disabled until 90 days after the last day of employment, except if they retire, which is 120 days after the retirement date. Faculty can login to Office.com and then navigate to:

Emeritus
Emeritus lose access on the last day of their employment.
UNI Works / Workday
Faculty and Staff lose access to UNI Works the day after their last day of employment.
Blackboard (Bb) - Learning Management System (LMS)
Blackboard user accounts are made "Unavailable" when a user is deprovisioned; which denies that user account from logging into the Blackboard system.
Students:
Students will be deprovisioned as soon as they drop out of the SIS provisioning view:
Students will drop out of the provisioning view 90 days after they receive their degrees from UNI.
Students will drop out of the provisioning view two weeks after they have withdrawn from all courses.
Students will drop out of the provisioning view 120 after the last semester or class they were enrolled in (for those who were not awarded a degree)
Faculty and Staff:
Employees will be deprovisioned as soon as they drop out of the Workday provisioning view:
Faculty will drop out of the provisioning view 90 days after their termination date.
Staff will drop out of the provisioning view at the end of their termination date.
Patrons:
Patrons will drop out of the provisioning view at the end of the END_DATE on their accounts.
Emeritus:
Employees granted Emeritus status will be deprovisioned based on the "Faculty and Staff" criteria above.
UNI Job Board (Handshake)
UNI Alumni will maintain access to the UNI Job Board for 6 months after graduation. After 6 months, accounts will be archived and alumni wishing to access the UNI Job Board will have to request access. To request access to the UNI Job Board, go to the sign-in page (Link: https://uni.joinhandshake.com/login) and select "Sign up here" on the top right.
Specific applications
All other applications (Adobe Creative Cloud, Zoom, LinkedIn Learning, etc.) are tied to being a current student or employee and will end the day after employment or current enrollment ends. Emeritus access to these applications will also end.
