The University of Northern Iowa provides Google Email (Gmail) accounts to active faculty, staff, students, and emeritus employees to facilitate university-related communication and collaboration.
While these accounts remain a vital link to the campus community, all users are responsible for ensuring their use of @uni.edu accounts aligns with university policies and best practices for data security and long-term access.
Primary Purpose and Intended Use
UNI email accounts are provided as official communication channels for university business, academic pursuits, and campus engagement.
Official Correspondence: All University-related business should be conducted through the
@uni.eduaddress to ensure security, compliance, and professional standards.Incidental Personal Use: Limited incidental personal use is permitted, provided it does not interfere with university operations, violate any policies, or result in additional costs to the university. Using a university-hosted account for personal business can create significant challenges for you and your family.
Regulatory and Policy Compliance
All users of UNI Google Email must adhere to all University policies including:
Policy 14.04: Acceptable Use of Information Technology Resources: This policy outlines the standards for the acceptable, ethical, and equitable use of UNI IT resources. It covers prohibited activities, such as using university email for commercial gain, political campaigning, or activities that violate local, state, or federal laws.
Policy 14.03: Information Security Policy: This policy provides the framework for protecting the confidentiality, integrity, and availability of UNI data. Users must ensure they are not compromising university security by sharing account credentials or mishandling sensitive data within their email.
Privacy and Access
Users should have no expectation of privacy when using university-provided email. As a public institution, UNI-related emails may be subject to disclosure under the Iowa Open Records Law or during legal discovery.
Furthermore, upon a change in employment status or the conclusion of a student’s enrollment (subject to specific lifecycle timelines), access to the account and its data will be terminated.

UNI values the continued connection of our emeritus community. However, using a university-hosted account for personal business can create significant challenges for you and your family.
The Risk of Personal Account Dependency
UNI is bound by federal privacy laws (such as FERPA) and university data security policies. These regulations prevent UNI from granting family members or executors direct access to your email account, even in the event of an emergency or passing.
If your UNI email is the primary login or recovery address for the following services, your family may face legal delays and be unable to retrieve critical information:
Financial & Banking: Bank accounts, retirement funds, and investment portfolios.
Medical & Health: Patient portals, insurance records, and health history.
Legal & Legacy: Life insurance, estate planning, and personal legal correspondence.
Personal Memories: Accounts for social media, photo storage, or personal subscriptions.
