Personal Aircraft Use

Authorized travelers may use personal aircraft at their own risk for University-related travel.

The pilot assumes full responsibility for all operational costs, including but not limited to:

  • Fuel

  • Maintenance

  • Storage

  • Licensing

  • FAA certifications

  • Insurance

  • Fines or fees

Travelers are strongly encouraged to consult their personal insurance provider prior to travel.

Eligibility & Requirements

To use a personal aircraft for University business, the traveler must:

  • Be a licensed and certified pilot

  • Travel for purposes directly related to their University role

  • Demonstrate cost or time savings, or lack of suitable commercial travel options

  • Ensure all passengers are at least 18 years old

  • Obtain prior written approval from the Director of Risk Management, including proof of aircraft and passenger liability insurance

  • Submit approved documentation to the Office of Business Operations

Reimbursement

Reimbursement for personal aircraft use is limited to:

  • The GSA rate for aircraft mileage

  • A maximum not to exceed the cost of coach-class airfare plus ground transportation to the business destination

Liability

UNI assumes no responsibility for injury, damage, or loss related to personal aircraft travel. In the event of an incident, recourse lies solely with the pilot or aircraft owner.
